What we need:

We are seeking an experienced Administrative Assistant/Office Coordinator to provide comprehensive administrative support and office organization to our General Manager and leaders within the HPS Division. The ideal candidate will excel in maintaining confidentiality and possess exceptional communication, interpersonal, and customer service skills to liaise effectively across all levels of the organization and with international stakeholders.

What you'll be doing:

  • Provide administrative support to the General Manager of the HPS Division.
  • Manage and screen all forms of communication, including emails and phone calls, and handle or distribute them appropriately.
  • Serve as the point of contact and resource for staff, visitors, and the visitor management system.
  • Oversee and support all administrative duties to ensure the smooth operation of the office.
  • Manage day-to-day office activities, acting as the main point of contact.
  • Maintain office inventory for office and breakroom supplies.
  • Oversee facility relationships and coordinate maintenance as needed.
  • Organize reports or presentations with minimal direction and compose letters or other documents as required.
  • Take ownership of a variety of projects as assigned by the General Manager.

What you'll need to be successful:

  • 2+ years professional experience working in an administrative support role.
  • Must have strong working knowledge of MS Office - Word, Excel and PowerPoint, as well as Gmail, Google Drive and the Google Office Suite.
  • Must have excellent written and verbal communication skills, strong interpersonal skills and a customer-focused orientation.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information.
  • Outstanding communication, interpersonal, and customer service skills.
  • Adaptability and the ability to work efficiently in a fast-paced environment.
