Job Description

This position is a hybrid position located in the state of Utah.

Job Summary

Provides administrative support to Senior Management as required. Responsible for administrative functions including (but not limited to) answering incoming calls, scheduling and preparation of meetings, scheduling of domestic and international travel, maintenance of calendar, sorting and prioritization of e-mail and sorting and distributing incoming mail.

What you will do

  • Performs everyday administrative functions including phone/e-mail monitoring and prioritization, supply ordering; filing/organizing, etc.
  • Facilitates both domestic and international travel arrangements, prepares itineraries, and processes travel expense reports.
  • Maintains calendar and arranges multiple party meetings and telephone/video conference calls.
  • Prepares, organizes and generates reports as needed.
  • Interacts with Executive Management Committee and Executive Assistants.
  • Composes correspondence and prepares letters, memoranda, reports and spreadsheets
  • Prepares presentations, including agenda and related materials, copying, collating and setup.
  • Notes commitments made by executives during meetings and arranges for staff implementation.
  • Manages incoming mail.; Reads outgoing correspondence for executive approval and alerts writers to any conflicts or departure from policies or executive's viewpoints.
  • Participates in special projects and performs other duties as required.
  • In addition to the essential duties and responsibilities listed above, all positions are also responsible for:
  • Meeting company standards pertaining to quantity and quality of work performed on an ongoing basis, performing all work related tasks in a manner that is in compliance with all Company policies and procedures including WorldWide Business Standards.
  • Adhering to Company policies, procedures, and directives regarding standards of workplace behavior in completing job duties and assignments.

Qualifications

Must have:

  • Minimum 6 years experience as an executive or administrative assistant to senior or executive management.
  • Must be fluent in Microsoft Word, Excel and PowerPoint. 
  • Expediency and accuracy of work product imperative.  
  • Strong interpersonal skills and ability to communicate effectively with others at all levels of the Company with excellent hone manners.  
  • Excellent organizations skills and demonstrated ability to multitask a must. 
  • Very strong follow-up and detail-oriented skills. 
  • Must have ability to work independently with little or no supervision or guidance.  
  • Excellent judgment and problem solving abilities.
  • Ability to utilize discretion and maintain confidentiality is required.
