Job Summary

 

This position is responsible for managing support for training events, tradeshows, and/or other field marketing events, including conferences and summits. Partner with training, marketing, and event managers. Manage supervisors and/or individual contributors who manage events or assist with event support.

What you will do

  • Select event cities and dates and maintain the master event calendar
  • Find and secure event venues and/or coordinate venue sourcing with third-party agencies
  • Assist with speaker selection, recruitment, and preparation
  • Oversee administration of venue and/ or speaker contracts and payments
  • Research and select event registration software
  • Define attendee registration and confirmation processes and supervise configuration of registration software
  • Ensure selected training events meet requirements for continuing education (CE) and administer CE credits
  • Partner with marketing managers to ensure effective event marketing campaigns that drive registration
  • Write or review event marketing copy for mailers, email messages, social media posts, etc.
  • Manage registration, shipping, billing, and all other routine event support processes
  • Oversee tradeshow booth property creation and shipping
  • Coordinate with other managers to ensure appropriate event staffing and communication to all event staff
  • Lead dispute resolution and compensation discussions with event attendees
  • Monitor event expenses to stay within budget
  • Collect and analyze data to assess event effectiveness
  • Travel to events to provide logistical support and evaluate event execution
  • Prepare and present reports on event registration, attendance, revenue, expense, and other key metrics
  • Attend pre-event planning meetings and event post-mortems to ensure the adoption and execution of best practices
  • Assist with the recruiting, interviewing, hiring, and training of event team members
  • Define work plans, conduct quarterly performance reviews, and conduct annual performance reviews for event support team members

Qualifications

Must have:

  • Typically 7 or more years of increasing responsibility and complexity in terms of any applicable professional experience; first-level manager.
  • Typically a Bachelor's Degree or global equivalent in related discipline.
  • Strong understanding of logistics for training events, conferences, tradeshows, and/or other field marketing events
  • Strong understanding of contract negotiation and management for speakers, venues, room blocks, A/V and production, F&B, exhibit space, etc.
  • Experience building and managing matrix teams to produce master plans for major events
  • Experience with tradeshow booth property creation and shipping
  • Strong ability to manage customer service and dispute resolution
  • Strong project and budget management skills, including proficiency with project and budgeting software (such as SmartSheet and Microsoft Excel)
  • Good data analysis skills
  • Basic proficiency with Microsoft Office
  • Strong management skills and ability to attract, retain, motivate and develop team members for high performance
  • Excellent verbal and written communication skills and ability to resolve disputes effectively
  • Strong presentation and public speaking skills
  • Strong decision making, analysis and problem solving skills with ability to multi-task
  • Understand and act on financial information that may contribute to business profitability
  • Ability to manage successful projects, manage risks, costs, time and project teams
  • Lead team to achieve company goals in effective ways
  • Strong planning and organizational skills and techniques
  • Communicate effectively with management
  • Good negotiating skills
  • Build relationships, understand organizational complexities and manage conflict
  • Broad professional and managerial skills with an understanding of industry practices and company policies and procedures

Nice to have:

  • Master's degree or global equivalent a plus.

The posted range for this position is $83,520-$146,160  which is the expected starting base salary range for an employee who is new to the role to fully proficient in the role. Many factors go into determining employee pay within the posted range including prior experience, current skills, location/labor market, internal equity, etc. This position is eligible for a 10% bonus not reflected in the posted range.
